Event and Group Care FAQs
Booking is easy!
1. Submit the Group Reservation Form:
Please use the designated link found on your group’s landing page to reserve space for your child(ren).
Do not use the general public reservation link at the top of our website.
Your group has secured dedicated childcare services, and we need to ensure your request is submitted through the correct form. All costs for group care have been covered by the event organizers.
2. Confirmation:
Once your request is reviewed, our Administrative Team will send you a confirmation email with the details of your reservation.
3. Required Paperwork:
You will receive electronic paperwork to complete and sign. This must be submitted prior to your child(ren) attending group care.
Booking is as easy as 1-2-3!
1. Submit the Private Care Reservation Form:
Please use the private care link located on your group’s landing page to submit your request. Please note that guests are responsible for paying for private care.
Do not use the general public reservation link at the top of our website.
We are prioritizing requests for your group, and submitting through the correct link ensures that your reservation is handled appropriately and promptly.
2. Confirmation:
Once your request is received, our Administrative Team will email you to confirm the details of your private care reservation.
3. Nanny Introduction:
Your nanny will call you prior to the appointment to introduce herself and will arrive at your specified location at the scheduled time.

Important Information:
After-Hours Requests:
If you are submitting your reservation outside our normal business hours (Monday through Friday, 9 am to 5 pm), please complete the private care form on your group’s landing page. Our Administrative Team monitors requests for urgent needs and will respond to time-sensitive requests as soon as possible. All others will be addressed once the office reopens.
Advance Reservations Recommended:
So that we have a full count of how many children are attending and can prepare a fun and engaging event for them, we strongly recommend submitting your reservation in advance.
Your group’s specific RSVP deadline is listed on your group’s landing page.
The following are our guidelines for child-to-caregiver ratios:
• Newborns to 1-year-olds: 2 children to 1 caregiver
• 2-year-olds to 4-year-olds: 3 children to 1 caregiver
• 5-year-olds to 7-year-olds: 4 children to 1 caregiver
• 8-year-olds and up: 5-7 children to 1 caregiver
Our primary goal is to ensure your children's safety. We reserve the right to adjust these guidelines when necessary for their well-being.
At Hilton Head Nannies, children’s safety and well-being are at the heart of everything we do. That commitment is reflected in our exceptionally thorough screening process, designed to ensure that only the most qualified, trustworthy, and nurturing individuals are selected to join our team.
Every caregiver must:
• Complete and score highly on a written skills assessment
• Participate in a two-part interview process with senior members of our team
• Provide nine detailed references (national average is 2-3)
• Demonstrate a strong and verifiable history of working with children
• Undergo a comprehensive background screening, which includes:
• Social Security Verification Scan
• National Criminal Background Check
• County-Level Background Checks
• National Sex Offender Registry Search
As part of our reference process, each reference is required to complete a written questionnaire that addresses a range of specific topics related to the caregiver’s skills, character, and experience. Every reference is also personally contacted and verified by our team to ensure accuracy and gain deeper insight.
Additionally, Jennie Krogulski, our founder and president, takes a personal role in getting to know each caregiver. Jennie builds a relationship with every team member, ensuring she understands who they are—not just on paper, but as individuals.

At Hilton Head Nannies, safety and security are our highest priorities during group events.
A dedicated manager will be stationed at the front doors at all times. This individual monitors access to the childcare area and serves as the central point of communication for both families and our caregiving team.
In addition to our experienced caregivers, we staff above-industry-standard caregiver-to-child ratios to ensure attentive supervision. We also build in additional team members specifically assigned to:
• Monitor the doors and manage check-in/check-out
• Assist with bathroom breaks
• Support caregivers as an extra set of hands wherever needed
This layered staffing approach allows us to maintain a safe, well-organized, and responsive environment so that every child receives excellent care—and every parent has peace of mind.

While most of our nannies are over the age of 22, all of our nannies are at least 18 years old and are mature, energetic professionals.
Much of how we keep the children engaged depends on what the hosting group has arranged, as every event is a little different. The good news is—we come prepared!
We have a vast array of activity options tailored to different ages, settings, and group sizes. From crafts and games to interactive play and themed activities, our caregivers are experienced in creating fun, engaging experiences that help children feel happy, included, and entertained throughout the event.
Our goal is always the same: to keep the children smiling, active, and having a great time while in our care.
Yes! All of our nannies are required to be certified in Infant, Child, and Adult CPR, in addition to having Basic First Aid Training.
Yes! To secure a spot on our registry, all of our nannies must participate in periodic training required by our agency. In the spring of 2024, we hosted the "Sandcastle Conference," where nannies received training on various topics, including Professionalism, Understanding Autism, Safeguarding Children/Child Abuse Prevention, Getting Kids Moving: Activities to Expend Energy, and Encouraging Literacy through Planned Activities.
Is there any paperwork required?
Yes. A Childcare Release Form is required for each child who will be in our care.
To ensure the safety and well-being of all children, no care will be provided without a completed and signed release form on file. This paperwork is submitted electronically and will be sent to you after your reservation has been confirmed.
We kindly ask that you complete this step promptly to help us prepare for a smooth and welcoming experience for your child.
Additional Forms (If Applicable)
Authorization to Release a Child Form:
Clients who wish for their caregiver to release the child/children to another adult must sign a form granting permission. We will only release children to adults (age 18 and over) and will require the individual(s) to show a photo ID. For the safety of the children in our care, no exceptions are made to this policy, even if the individual is staying in the same home or hotel room as the client.
Authorization to Administer Medication Form:
Clients who wish for their caregiver to administer any medication (prescription, over-the-counter, or vitamins/supplements) must complete this form.
We provide care for newborns through children aged 14. Additionally, we offer support for children and adults with special needs, as well as senior adults who do not require medical care.
Yes, absolutely. We will have a Team Lead/Manager on duty throughout the event. This individual will serve as your point of contact and will be stationed at the front table to assist with any questions or concerns.
A dedicated cell phone number will be provided to you at check-in. You may call or text this number at any time to check in on your child.
Because reception can be spotty in some areas, we’ve arranged for the manager to have access to Wi-Fi to help ensure reliable communication. Our goal is to respond to all inquiries within 10 minutes of receipt. However, we kindly ask for your understanding—there may be brief delays during peak activity periods.
Please rest assured that if any emergency arises, we will contact you immediately.
To ensure the safety and well-being of all children in our care, parents and guardians are not permitted inside the group care area during the event. Only Hilton Head Nannies caregivers and approved staff members are allowed beyond the doors. This policy is in place for two important reasons:
1. Child Safety:
For security purposes, we must be able to account for every adult inside the care area. Since we do not personally know the parents of each child, it would be impossible to verify who belongs and who does not. Limiting access allows us to maintain a safe and secure environment for all attendees.
2. Emotional Tranquility for the Group:
When one parent enters the space, it often triggers distress among other children who become upset that their own parent isn’t present. This can disrupt the calm, joyful atmosphere we work hard to create. Maintaining a consistent, child-focused environment allows all participants to relax, engage, and have fun.
We understand it can be difficult to step away, especially if your child is unsure at first—but rest assured, our experienced caregivers are skilled at helping children feel comfortable and included. Our goal is to create a peaceful, engaging, and enjoyable experience for every child from the moment they arrive.
No. All children must be signed in and out by a parent or legal guardian—regardless of age.
For the safety and security of all participants, we do not permit children to enter or leave the group care area without a parent or guardian present. This policy ensures that each child is accounted for and released only to an authorized adult.
We appreciate your understanding and cooperation in helping us maintain a safe and well-organized environment for everyone.
We take the safety of every child seriously and have a detailed check-in and check-out system in place to ensure a secure and smooth experience.
Sign-In:
When you arrive, you and your child will be greeted by a member of our team at the entrance.
• You and your child will receive matching wristbands with corresponding ID numbers.
• You will then sign your child in and provide any relevant notes to our staff.
• Children with allergies or medical concerns will be given a red wristband to help our caregivers easily identify them.
• If your child requires emergency medication (such as an EpiPen or anti-seizure medication), you’ll speak directly with the manager on duty to hand it over and provide clear instructions.
• Our team will place name tags on all personal belongings, and your child will be personally escorted inside to begin their fun-filled day.
We often have a little "magic up our sleeves" to make goodbyes easier—so don’t be surprised if your child heads off smiling!
Sign-Out:
For security purposes:
• Only parents/legal guardians may sign a child out unless advance written arrangements have been made and approved.
• You must bring your matching wristband and a valid photo ID to check your child out.
• We cannot release a child without both the wristband and photo ID. Please plan ahead to avoid delays.
We appreciate your cooperation in helping us maintain a safe and smooth experience for all families.
We completely understand the desire for family members—especially grandparents, aunts, uncles, or older siblings—to check in on the children during events like weddings and reunions. However, for the safety and well-being of all children in our care, we cannot permit visitors inside the childcare area.
Even though your loved ones may be part of the larger event, our caregivers do not know them personally and are unable to verify who is authorized. Allowing unscheduled visitors would compromise both our security protocols and the peaceful, focused environment we strive to maintain for the children.
Additionally, no adults other than Hilton Head Nannies staff are allowed inside the care rooms at any time.
We appreciate your understanding as we work to provide a secure and joyful experience for every child in our care.
We want your child to feel comfortable and cared for during their time with us. Below are some helpful guidelines for what to pack based on your child’s age and needs:
For Young Children:
Please send your child with the following clearly labeled items:
• Extra diapers – we recommend packing twice as many as you think they’ll need, as our caregivers are diligent about keeping little ones dry and comfortable.
• An extra change of clothes
• A blanket and pillow
• Lovey or comfort item (if your child uses one)
• Sippy cup or bottle, labeled with your child’s name
• Any required food/formula and snacks (nut-free, please)
• Any necessary medications
• A quick, jotted note with helpful info—schedules, preferences, calming tips, etc.—can go a long way in helping us provide personalized care.
For Older Children:
• Blanket and pillow - for evening care
• Lovey or comfort item, if needed
• Any allergy-specific food or drinks
• Any necessary medications
Please do not send any food items that contain nuts, as we are mindful of allergies among both children and caregivers.
Important:
Make sure all items are clearly labeled with your child’s name to avoid mix-ups.
If your child has a food allergy, please let us know in advance when submitting your reservation.
This allows us to coordinate with the event planners or hosts to ensure that the childcare area is a safe and allergy-aware environment for your child. We take food allergies seriously and will work closely with our team to take every precaution necessary.
If your child requires special food, snacks, or drinks, we encourage you to send those items along—clearly labeled—and inform our team at check-in. If any medication such as an EpiPen is needed, it must be handed directly to the manager on duty with clear instructions.
Your child’s safety is our priority, and we appreciate your partnership in helping us care for them with confidence.
Whether we can accommodate late sign-ups depends on how your group has arranged childcare with us.
We understand that plans change, and we will do everything within our power to make appropriate adjustments. However, space is limited and carefully planned in advance to ensure proper staffing and safety.
If your group is unable to accept additional children after the RSVP deadline, we may still be able to assist by arranging private care, if available. Please note that private care is typically at the guest’s expense.
If you’ve missed the deadline, we encourage you to reach out to us as soon as possible, and we’ll walk you through the available options.
